About Health Clinic Services
Health and Counselling Services (HCS) is located in the Carleton Training and Technology Centre (CTTC) in Suite 2600. It is a multidisciplinary healthcare facility that provides medical services to Carleton University students, faculty and staff. Our services include access to same-day appointments, primary care appointments, nursing visits and lab testing. Please note that HCS will be closed from December 24, 2024 to January 2, 2025.
A team of professionally trained patient care coordinators, nurses, lab technician, physicians and psychiatrists.
Currently enrolled students at Carleton University and professional services employees, faculty and continuing employees who have a dedicated physician and may use this service as their regular family doctor. They may also see the walk-in doctor for episodic care.
Upon retiring, staff will be supported until they are able to secure a family practitioner in the community and will be able to continue to see same day appointments for episodic care.
Contract Instructors, post-doctorate fellows, researchers, visitors (e.g. guest lecturers, athletes from visiting teams) can come to see the same day appointment physician for medical problems that are episodic in nature – a cold, an infection, an allergic reaction and so on. They cannot make one of the physicians here their regular doctor.
How to Book an Appointment
Students and staff/faculty can access medical and lab appointments Monday to Friday from 8:30 a.m. to 4:30 p.m.
Appointments can be booked online through the CHR Connect App or through the CHR Connect Website.
With this new app, we would request that students:
- Insert their chosen/preferred name only in the chosen/preferred name section (this is called “Display Name” in the CHR Connect App and “Preferred Name” on the web view)
- Use the drop-down pronoun selection box for pronoun entry. The exception to this is if someone’s pronouns are not offered in the drop-down menu. For example, “he/they”. In that case, please continue to input pronouns into the chosen/preferred name section EACH time you update this field as it will overwrite your prior entry.
Note: Please do this even if you have already given us your chosen/preferred name and pronouns prior, as it will update the electronic medical record display.
TELUS CHR is working on increasing drop-down pronoun options as a future goal.
CUHCS staff will use any of the pronouns that are displayed in the chart (from either the free text in the Preferred name field OR from the drop-down Pronouns section).

Types of Services
A booked appointment is necessary for ongoing primary care concerns. These appointments are not appropriate for the same day appointments:
- Mental Health Management
- Sexually transmitted infection (STI) testing (non-symptomatic) and results
- Birth control
- Gynecological Procedures (IUDs, Nexplanon, etc.)
- Prescription renewals (please book two months before prescription runs out)
- Minor dermatology assessment & procedures
- Vaccine Management
- Allergy Management
Health Services same day appointments provide acute/new episodic issues only, including:
- cough/cold
- UTI/STI (symptomatic)
- Acute injury
- Acute skin issues
- Allergic reactions, etc.
Please note: Same day appointments are available from 8:30 a.m. to 3:45 p.m. (or when maximum capacity is reached) operating on a first-come, first-serve basis. Timeslots for the same day appointments are released 24 hours in advance and can be booked online through the CHR Connect App or the CHR Connect Website
Access to nursing to perform vaccines, allergy injections (for those with an allergist outside of Ottawa) wound care, etc.
Access to have blood work and Electrocardiogram (EKG), can be booked online please visit the CHR Connect App or through the CHR Connect Website or call 613-520-6674 during business hours.
If you live within 50 kilometers, you cannot access a primary care appointment if you have a family doctor as per OHIP billing rules.
Students are not able to make primary care physicians their ongoing family physician. Clinic use is only available while you are attending Carleton University for school.
Primary care providers can refer to specialized physicians in the community. It is the expectation that if you have a referral to an external specialized physician in the community that you notify us, if no longer needing it and/or have left Carleton University. Please notify us by emailing hcs@carleton.ca.

Helpful Information Prior to Visiting Health Services
Arrive 15 minutes before appointment. Please ensure to call if you are running late to ensure that the physician able to see you a few minutes late. Most physicians have back-to-back appointments, so they are unable to see patients if over 50% of the appointment time has passed (for example 7 mins late for a 15 min apt). Reminder there is a charge for no shows/late arrival.
Ensure all forms or questionnaires are completed and submitted through the CHR Connect App and bring campus card, health card and/or health insurance to all appointments.
If you require a follow up appointment, especially for medication renewal, we recommend booking immediately following your appointment by scanning QR code in the treatment room you are in or by following directions by physician and presenting to the front to book a follow-up.
Please do not call the clinic to receive your medical test results. You must book a follow-up appointment with your doctor in order to go over the results in detail. Only physicians are authorized to read and provide the results of any medical tests. We will make every effort to contact you if your test results are abnormal. Your physician may send results via our secure messaging system in CHR, please keep an eye out on the email you provided us with.
Students, staff and faculty are responsible for behaving respectfully and following the Students Rights and Responsibilities Policy if applicable and/or applicable staff and faculty policies in relation to healthy workplace when accessing any services within Carleton University. Abusive behaviours will not be tolerated.
If you are experiencing an emergency and/or an urgent medical problem and the health and counselling services is open, please call Campus Safety 613-520-4444 or dial 4444 from any campus telephone or if able present to the clinic in the CTTC. If you are off campus, call 9-1-1 and/or present to the local hospital’s emergency department.
If you or someone you know is sexually assaulted, please connect with Ottawa Rape Crisis Centre at 613-562-2333 and if on campus please call Campus Safety 613-520-4444 or dial 4444 from any campus telephone and off campus call 9-1-1. If you or someone you know is experiencing domestic violence and in a dangerous situation, please call Campus Safety 613-520-4444 or dial 4444 from any campus telephone if on campus. If off campus, call 9-1-1
Privacy and Confidentiality
Carleton University Health and Counselling Services collects, uses, discloses personal health information to serve our clients and to provide health care. All Carleton University Health and Counselling employees, contract staff, consultants, student peer mentors and volunteers are required to abide by the privacy laws, including Freedom of Information and Protection of Privacy Act (FIPPA) and the Personal Health Information Protection Act (PHIPA).
Health Services currently uses an electronic record keeping system called Collaborative Health Record (CHR). Access to medical records in CHR is restricted to Health and Counselling employees and information is protected through the use of technical and administrative safeguards such as restricted access permissions, multi-factor authentication and use of other industry standard security controls.
Under exceptional circumstances Carleton University Health and Counselling Services, through personnel authorized to make such decisions, may disclose personal health information of a client if necessary to comply with legal and/or professional obligations with or without their consent if:
- There are reasonable grounds to believe that a client is at significant risk for the serious harm to themselves or another person.
- There are reasonable grounds to believe that a child is at risk of being abused or neglected.
- The client’s personal health information has been subpoenaed by a court of law.
- The client’s disclosed that they have been sexually abused by a regulated health professional.
- As per the College of Physicians and Surgeons of Ontario’s policy on mandatory and permissive reporting.
Feedback and Complaints
