Cancellation and No-Show Policy

We understand that unforeseen circumstances occasionally arise. If you need to cancel and/or reschedule an appointment, please provide at least 24 hours and/or as much notice as possible.

Health Services offers a high volume of appointments to Carleton students, staff and faculty each day. Cancelling an appointment when you are not able to make it means you are freeing up an appointment spot for others who are waiting and could benefit from an earlier appointment.

We understand unforeseen circumstances occasionally arise. We are confident you are doing an amazing job at managing your busy schedule as a student, including your health and your appointments with us.

If you need to cancel an appointment, please provide at least 24 hours and/or as much notice as possible. Appointments cancelled in less than 24 hours will incur a fee.

Please NOTE: If you have an appointment on a Monday and you wish to cancel it, you must notify us by 4:30 p.m. on Friday if possible.

Psychiatrist appointments require 48 hours cancellation notice.

How to Cancel and Appointment

You can cancel an appointment by visiting the CHR Connect App or through the CHR Connect Website. You can also call Health and Counselling Services at 613-520-6674 during business hours. A Patient Care Coordinator will work with you to reschedule to the next available appointment.

Please do not email individual counsellors or health care providers.  

No-Show Information

If you do not cancel your appointment 24 business hours before and you do not attend, a “no-show” charge will apply. This is to ensure that you are booking services that meet your needs. If for some reason the schedule or services available are not a good match for you, please reach out to us so that we can help generate solutions.

Late Arrival Policy

At Carleton Health Services, we understand that delays can happen. In order for everyone to be seen in a timely manner, it is important to arrive on time for your scheduled appointment. If you arrive significantly late, the practitioner will be unable to provide appropriate care within the remaining time. To ensure you receive appropriate care and appointments run on time, the following applies:

Health Services (Medical Appointments)
If you arrive more than 50% into your scheduled appointment time, a no show fee will be applied, as the physician will no longer be able to complete the appointment within the shortened time frame.

Counselling Services (Counselling, GP Psych, and Psychiatry Appointments)
Late arrival thresholds may vary by practitioner, please check with your provider. These appointments require sufficient time to safely assess and support you. If you arrive significantly late and the practitioner is unable to provide appropriate care within the remaining time, a no show fee will be charged.

These policies are in place to support safe, effective care and ensure access for all patients.
